Canopy Marquees – Booking Conditions

These Booking Conditions form the agreement between Canopy Marquees (“we”, “us”, “our”) and the customer (“you”, “your”) for the hire of marquees, gazebos, furniture, and accessories. By paying a deposit or confirming a booking, you agree to these terms.

1. Booking & Payment

1.1 A 30% deposit of the total hire charge is required to secure your booking.

1.2 The remaining balance must be paid no later than 7 days before the build/installation date.

1.3 If payment is not received on time, we reserve the right to cancel your booking and retain your deposit.

1.4 Bookings made less than 14 days before the build date must be paid in full at the time of booking.

2. Cancellations

2.1 The 30% booking deposit is non-refundable in all circumstances.

2.2 If you cancel your booking before the balance is due (more than 7 days before the build date), no further payment will be required, but your deposit will be retained.

2.3 If you cancel your booking after the balance has been paid (7 days or less before the build date), the full hire charge is non-refundable.

2.4 In the unlikely event that we have to cancel due to circumstances beyond our control (e.g. severe weather, safety concerns, equipment damage, or illness), we will refund all monies paid including the deposit. Our liability will not extend beyond this refund.

3. Hire Period

3.1 The hire period will be agreed at the time of booking. Extra charges will apply if the equipment is retained beyond the agreed period.

3.2 You are responsible for ensuring access to the site at the agreed build and collection times.

4. Site Requirements

4.1 Marquees and gazebos must be installed on grass or another suitable surface. For grass or soil, structures will be staked into the ground. On hard-standing surfaces, structures may be installed using appropriate weights or ballast, provided this is suitable for the marquee type and site conditions.

4.2 It is your responsibility to confirm that the site is suitable and to advise us of any restrictions (e.g. underground services, pipes, drains, or cables). We cannot accept responsibility for damage to concealed services where we have not been notified.

4.3 Adequate access for our vehicles must be provided.

4.4 The site must be clean, level, and ready for installation at the agreed build time. This includes:

  • Grass cut short and free of loose clippings.

  • The area cleared of all obstacles, including furniture, garden equipment, and waste.

  • Absolutely no animal fouling (e.g. dog mess) on or near the installation area.

If the site is not suitably prepared, we reserve the right to delay or refuse installation until it is rectified. Additional charges will apply for wasted time, delays, or return visits.

5. Use of Equipment

5.1 You are responsible for the safety and security of the equipment during the hire period.

5.2 No cooking, barbecues, heaters, or open flames are permitted inside marquees unless agreed in writing.

5.3 Smoking is not permitted inside any of our structures.

5.4 Any damage, loss, or excessive cleaning required will be charged to you at replacement or repair cost.

6. Weather, Safety & Wind Speeds

6.1 All of our equipment is fully waterproof and rated for typical Cumbrian weather. However, safe installation and use depend on prevailing conditions.

6.2 Each marquee type has a maximum safe wind speed rating. If forecast or actual wind speeds exceed these limits, or other extreme weather conditions make installation unsafe, we reserve the right to cancel the booking.

6.3 In such cases, all monies paid (including deposit and balance) will be refunded in full. Our liability will not extend beyond this refund.

6.4 We also reserve the right to modify or dismantle equipment during the hire period if conditions change and the structure is deemed unsafe.

7. Accessories & Third-Party Equipment

7.1 We supply accessories such as flooring, furniture, lighting, and staging on request. Items will be detailed in your booking confirmation.

7.2 If you hire additional equipment or services from third parties, we accept no responsibility for their supply, installation, or performance.

8. Liability

8.1 We accept no liability for injury, loss, or damage to persons or property arising from the use of our equipment, except where negligence on our part is proven.

8.2 You are responsible for arranging your own event insurance if required.

9. Force Majeure

We will not be liable for any delay, cancellation, or failure to fulfil our obligations arising from circumstances beyond our reasonable control. This includes (but is not limited to) extreme weather conditions (such as wind speeds exceeding the safe limits of our structures), accidents, fire, flood, illness, acts of terrorism, strikes, or other events that make installation unsafe or impractical.

Where possible, we will work with you to find alternative arrangements, but safety will always take precedence.

10. Governing Law

These terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
